Explain why a field exists

For each form field, identify the business purpose and whether it is required. Avoid collecting sensitive information for routine marketing enquiries. Provide an appropriate route when a legitimate service requires more detailed records. A form should explain what happens next without burying essential information in a long block of unrelated text.

Manage access through the lifecycle

Decide who needs the information, where it is stored and how it is reviewed when no longer needed. Do not move private client documents into a public project folder. Ask a qualified adviser about applicable privacy obligations; a short form does not by itself establish compliance. Review access when staff roles change, not only when a problem occurs.
