A quality complaint needs a trail

A clear record connects the report, investigation and response.

Capture the specific issue

Record what the customer reports, which delivery or batch it concerns and when the issue was noticed. Keep the original message and avoid changing its meaning when summarizing it. Separate a confirmed defect from a question that still needs investigation. In a regulated product context, relevant reporting or recall obligations require specialist assessment.

Close with a documented outcome

Assign the investigation, set a review point and tell the customer what happens next. Preserve the evidence used to reach the outcome, including relevant photographs or service records. Document the remedy and any process change. A closed ticket should show why it was closed, not merely that someone clicked a completion button.

A short working checklist

  • Connect the complaint to a specific delivery.
  • Distinguish reported concerns from verified findings.
  • Record the response and the reason for closure.
