Make supplier onboarding repeatable

A consistent introduction reduces confusion before the first order.

Gather what the relationship needs

Supplier onboarding should establish the correct legal entity, contact, scope, payment details and responsibilities for delivering the service. The required checks depend on the work and the industry context. Do not collect sensitive information just because a template contains a field. Explain what is needed and provide an appropriate way to submit it.

Confirm the handoff

Assign a person to confirm that the agreed documents have arrived and that operational contacts know the next step. Keep changes to payment instructions subject to a separate verification process; an unexpected email is not sufficient evidence of a new bank account. A short onboarding checklist helps, but it should be reviewed whenever the service or relevant requirements change.

A short working checklist

  • Collect only information needed for the relationship.
  • Name an onboarding owner.
  • Verify changes to payment instructions separately.
