Decide what you want to learn
Choose a small number of questions that the event can help answer: a supplier capability, a customer workflow or an operating challenge. Review the program and arrange relevant conversations. A long contact list is not the same as useful research. Give colleagues a shared note format so observations can be compared afterwards.
Follow up with context
Record the topic discussed and any agreed next step. Respect how the other person asked to be contacted and do not assume that exchanging a business card authorizes every type of marketing. Summarize what the team learned and what requires further verification. The most valuable outcome may be a corrected assumption rather than an immediate sale.
